POLY CITY SERVICES (SSM No. 201703144663 / 002648896-V) ("PolyCity", "we") manages residential rental properties in Malaysia. This policy explains how we handle personal data in line with the Personal Data Protection Act 2010 (PDPA).

1. Data we collect

• Tenants: name, identity card or passport number, phone number, email, tenancy details, payment records and messages sent to us (including via WhatsApp).
• Property owners: name, contact details, property details and bank account details for payouts.
• Payment slips, photos and documents you send us, for example repair photos.

2. Why we use it

• To prepare and manage tenancy agreements.
• To issue invoices, record payments and send rent and bill reminders.
• To handle repair requests and other enquiries.
• To prepare owner statements and make payouts.
• To meet legal, tax and accounting obligations.

3. Messaging (WhatsApp)

If you contact us on WhatsApp, we receive your phone number, profile name and the messages and files you send. We use them only to reply to you and to handle the matter you raised. We may use automated tools to help answer common questions; a member of our team handles anything that needs a person.

4. Who we share it with

We share data only as needed to provide our service: with the property owner or tenant of the same tenancy, contractors carrying out repairs, utility providers, our bank, our accountants and auditors, and authorities where the law requires. We do not sell personal data.

5. Storage and security

Data is stored with reputable cloud service providers, which may be located outside Malaysia. We restrict access to staff who need it and keep records only for as long as needed for the purposes above or as required by law.

6. Your rights

You may ask to access or correct your personal data, or withdraw consent for non-essential uses, by contacting us using the details below. We will reply within 21 days.
